Sorry, missed the message! Bad warlock!
My point really is this:
Hotels are more than happy to cope with large numbers of people from "special interest groups" (sounds better than loonies), but would prefer, I suspect, to have advance notice of the fact that you intend to take over one or more of their bars for the weekend/day or however long.
As a member of anime fandom for some years now, I have nothing but good experiences of dealing with hotels as part of large groups of people who require special needs-we generally need four video rooms, two dealer rooms, and any number of other rooms, so I know it can be done.
It just occurs to me that making sure the hotel knows you are coming might solve a lot of friction on the day. Depending on numbers they may be prepared to offer room discounts (shop around), and will probably be more than happy to turn one of the bars over to you if you ask nicely, as you won't annoy the normal clientele (and iI mean that from the hotels perspective not yours).
